How we collect, use and protect your personal information when you engage Novuo Immigration Services.

This Privacy Policy explains how Novuo Immigration Services ("Novuo", "we", "us" or "our") handles personal data in accordance with the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018. By engaging our services or using this website you confirm that you have read and understood this policy.

01.Who we are

Novuo Immigration Services is the data controller for the personal data we process about clients, prospective clients, employers and website visitors. We are an Irish immigration consultancy serving clients across Ireland, with our office in Dundalk, Co. Louth.

02.Personal data we collect

Depending on the services you request, we may collect:

  • Identity and contact data — full name, date of birth, nationality, passport details, address, phone number, email.
  • Immigration data — visa history, employment and study records, family composition, civil status, biometric reference numbers, INIS / ISD reference numbers.
  • Supporting documentation — copies of passports, identity cards, certificates, bank statements, contracts of employment and any other documents required for your application.
  • Financial data — billing information and payment confirmations (we do not store full card numbers).
  • Technical data — IP address, browser type, device information and cookie identifiers when you use this website.

Some of the data we process is "special category" data (for example, information revealing health, ethnic origin or biometric identifiers). We only process such data where strictly necessary for an immigration matter and where a lawful basis applies under Article 9 GDPR.

03.Lawful basis for processing

We rely on the following lawful bases under Article 6 GDPR:

  • Contract — to provide the immigration services you have engaged us for.
  • Legal obligation — to comply with anti-money laundering, accounting, tax and consumer protection requirements.
  • Legitimate interests — to operate, secure and improve our services, and to communicate with you about your case.
  • Consent — for marketing communications, optional analytics cookies and any sharing that is not otherwise required.

04.How we use your data

  • To assess eligibility and prepare immigration applications on your behalf.
  • To liaise with Irish immigration authorities, embassies and, where instructed, third parties such as employers or educational institutions.
  • To manage your case, communicate with you and provide updates through our secure client portal.
  • To meet our regulatory, accounting and record-keeping obligations.
  • To improve our website, services and client experience.

05.Who we share data with

We share personal data only where necessary, including with:

  • Irish immigration authorities (e.g. the Department of Justice, Immigration Service Delivery, embassies and consulates).
  • Independent qualified solicitors where legal advice or legal representation is required.
  • Vetted technology providers that host our client portal, email and document storage on our behalf under written data processing agreements.
  • Auditors, accountants and regulators where required by law.

We do not sell your personal data to any third party.

06.International transfers

Your data is primarily stored within the European Economic Area (EEA). Where a processor is located outside the EEA, we ensure adequate safeguards are in place, such as the European Commission's Standard Contractual Clauses or an applicable adequacy decision.

07.How long we keep your data

We retain client files for as long as is necessary to provide our services and to comply with our legal obligations. As a general rule:

  • Active case files — for the duration of the matter.
  • Closed case files — typically retained for seven (7) years to comply with anti-money laundering and accounting obligations.
  • Marketing data — until you withdraw consent.

After the retention period the data is securely deleted or anonymised.

08.Your rights

Under GDPR you have the right to: access your data; request rectification or erasure; restrict or object to processing; data portability; and to withdraw consent at any time without affecting prior lawful processing.

09.Security

We use appropriate technical and organisational measures to protect your data, including encrypted storage, role-based access controls, audited backups, staff training and a private client portal protected by individual user accounts.

We may update this Privacy Policy from time to time. The "Last updated" date at the top will reflect the latest version. Material changes will be communicated through our website or directly to active clients.
